My Archive is designed for the complete studio practice, including work that never appears on paintnlife.com. A personal record does not automatically create a consignment, publish a product, or submit an artwork for Paint&Life review. When you do want Paint&Life involvement, use the dedicated submission workflow.
Set up the archive around your practice.
Begin with the information that will be reused across artworks, documents, labels, and transactions.
- Add your logo, website, contact details, and social links.
- Create studio, storage, gallery, exhibition, client, and other recurring locations.
- Use Getting Started and Q&A whenever a workflow is unfamiliar.
- Check the Overview for upcoming work, inventory summaries, and notifications.
Build one reliable record for each work.
Store title, year, medium, category, dimensions, images, description, tags, pricing, QR link, status, location, exhibitions, awards, and sale history.
- Upload up to three images and choose the primary image.
- Duplicate a record when creating a related work or series entry.
- Use list or tile view, filters, status totals, and direct links to edit.
- Submit an eligible personal record to Paint&Life only when you choose.
Track the edition and each physical print.
Create limited or open editions, then manage numbered prints, artist proofs, prices, signatures, locations, sales, and certificates.
- Edition size defines the numbered run; proof count remains separate.
- Individual prints can carry their own number, price, location, and status.
- Generate a COA for a specific print and retain its verification record.
- Submit selected edition inventory to Paint&Life when appropriate.
Know where every work is now - and where it has been.
Create structured addresses and move works among your studio, storage, galleries, exhibitions, clients, loans, and other destinations.
- Open a location to see thumbnail inventory currently assigned there.
- Accepted exhibition work can move to the exhibition location on drop-off.
- Pickup or return can restore the previous location and preserve history.
- Sales, gifts, loans, and returns can record location context.
Connect deadlines, events, and participating work.
Manage exhibitions, art fairs, submissions, awards, deadlines, notifications, receptions, drop-off windows, pickup, and participating originals or prints.
- Search and preview works before adding them to an exhibition.
- Filter participating works by status and export reports.
- Create tear sheets, inventory sheets, checklists, and compact or detailed labels.

Keep the relationship with the transaction.
Create customer records, record studio or exhibition sales, donations and gifts, commissions, payment method, location, tax, and the exhibition where a transaction occurred.
- Use Quick Sale for a simple event or studio checkout.
- Use the full sales form when the transaction needs more detail.
- Inventory, ownership, and location update from the completed transaction.
- Use Financial Overview to review activity by month.
Turn archive data into useful studio documents.
Generate COAs, tear sheets, labels, QR links, inventory lists, and checklists without retyping the same information.
- Complete artwork descriptions and primary images before exporting.
- Add a public URL when a QR code should open an artwork page.
- Use your artist brand and contact settings across eligible documents.
- Review every PDF before printing, especially long titles and descriptions.
Use the archive as a daily working dashboard.

Back up good records with good habits.
Use consistent titles, dates, categories, customer names, locations, and statuses. Add movement and transaction records when events happen instead of reconstructing them later. During beta, report confusing steps and verify important documents before relying on them externally.
